1. Overview
This Privacy Policy explains how Nerd Dispatch LLC, which provides technology help under the names OkieNerd, KansasNerd, ArkieNerd and TexNerd, collects, uses, and shares information when you visit one of our websites, use the Nerd on Call app, book a service, or hold a Nerd on Call membership. In this policy, "we," "us," and "our" mean Nerd Dispatch LLC and each of those brands. Whichever brand you deal with, one company holds your information and this one policy applies. By using our websites, apps or services, you agree to this policy and to our Terms of Service.
This policy also covers the Nerd on Call membership: the account, address, billing, and visit information we handle to provide it, and how that information is shared with the Local Nerd who performs an in-person visit. Section 7a covers people who apply to be, or work as, a Local Nerd.
2. Information we collect
We collect only what we need to help you and run the membership:
- Contact details you give us: your name, email address, and phone number. If you book a visit for someone else, or give a gift, we also collect their name and phone number from you.
- Service address and location: the street address where you want in-person visits. If you tap "Use my location" on the website, your browser shares your device's coordinates with us so we can fill in and confirm the address. In the Nerd on Call app, if you allow location access, the app sends your device's precise location once at launch so we can find your ZIP code, show your area on the map, and pick the brand and phone number for your state; you can type a ZIP code instead. We use your address and coordinates to confirm you are within our 75-mile service area and to calculate your distance from downtown of the city serving your area and any travel band. We check typed addresses against the United States Postal Service's address database to standardize them.
- Devices and visit details you tell us about: the kinds of devices you have, the help you need, your appointment requests and any notes you add, and your visit history with us. If you start a booking and do not finish it, we keep what you typed (name, phone, email, address, the problem) so a person can call you about it and so you can pick up where you left off.
- Phone calls, voicemail, and texts: when you call or text one of our numbers we keep a log of it (your number, the name your carrier sends with it, the time, length, and outcome), the text itself on your contact record, and any voicemail you leave, which our phone carrier, Telnyx, records and transcribes so we can read it and call you back. Live calls are not recorded. When you and your Local Nerd call or text each other through one of our numbers, the connection runs through our system so neither of you has to give out a personal number; those calls are logged, not recorded.
- Remote sessions: when your Local Nerd connects to your computer through NerdConnect, or views your iPhone or iPad screen through the Nerd on Call app, the connection runs through relay servers we operate. We may keep a record of when a session started and ended. We do not record the session, and your screen is not stored.
- Push notifications: if you turn on notifications in our app or browser, we keep the device token Apple or Google issues so we can deliver visit updates, and nothing else about your device.
- Account security: the PIN you choose for your member account. We store it in a one-way hashed (encrypted) form; we cannot read your PIN. We also keep the time of failed sign-in attempts to protect your account.
- Payment information: processed by our payment processor, Stripe. We do not collect or store your full card number. We keep limited billing status from Stripe (such as whether a subscription is active and the renewal date), the card brand and last four digits, and identifiers that link your account to your Stripe customer record. When you book a one-time visit, that includes an identifier for the payment method Stripe saves so we can charge the balance at the end of the visit (see Section 6).
- Website and app usage: standard technical and analytics data such as your device and browser type, pages viewed, and interactions, collected through cookies and similar technologies (see Section 5). Our web server also keeps an access log of each request (your IP address, the page, the time and your browser type) for security and to see which pages are read; it is kept for 60 days and summarized after that without IP addresses.
- Approximate location from your IP address: we look up the rough area your internet connection appears to be in, so the site can show you the local phone number for your area. This is a city-level estimate only, it is not GPS, the lookup runs on our own server, and we do not store the result.
- Browser storage: we use your browser's storage to remember your light/dark theme choice, to keep you signed in to your member account, to remember the ZIP code and area code you gave us so the right phone number keeps showing, to remember which of our brands you came in on (a cookie kept for one year), and, if you arrived from an ad, the click identifier and campaign tags from that ad for the length of your visit (see Section 5).
- Referral program: if you join our referral program we collect your name, email, phone and the payout account you set up with Stripe, and we record which new members used your code.
3. How we use information
We use your information to:
- Provide the membership and your included and extra visits;
- Confirm your service area, schedule appointments, and reach you about your visits by text, email, push notification and phone;
- Sort the kind of help you need and estimate how long it may take, with the help of an automated language model (Anthropic’s Claude). What is sent is the note you type at booking, the service you booked, your service address and, when the visit is for someone else, that person's name. Your own name, phone number and email are not sent, Anthropic does not use it to train its models, and your Local Nerd still reads your own words before the visit;
- Process membership billing through Stripe and manage renewals and cancellations, including the early-cancellation adjustment described in our Terms;
- Follow up on a booking you started and did not finish, by phone or email, and, if you asked for a call back, by text about that request;
- Provide support and respond to your questions, including by text;
- Send you offers by email or text only where you have asked for them, and let you stop at any time;
- Measure our advertising and improve our website and apps;
- Operate, secure, and improve our website, apps and services; and
- Comply with the law and enforce our terms.
4. Text messaging and consent
When you give us your mobile number to book a visit, request a call back, or join, we send service texts about that request or visit: confirmations, reminders, on-the-way notices, replies to your questions, and account notices such as a PIN reset code. Texts to customers are signed "Local Nerd". Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time and HELP for help, or tell us by phone or email; we honor an opt-out within ten business days and keep a record of it so it is respected everywhere. Opting out of texts does not cancel your membership or visit, and consent to texts is not a condition of purchase. Marketing texts are sent only to people who tick the separate, optional box asking for them. We do not sell or share your mobile number or your text-message consent with anyone for their marketing. Program details are at /sms.
5. Cookies, analytics and advertising
We use cookies and similar technologies to run the site and understand how it is used. This includes Google Analytics and the Meta (Facebook) Pixel, which help us measure traffic and the performance of our ads. These tools set their own cookies and collect usage data subject to their own privacy policies.
Ad measurement. If you arrive from a Google or Meta ad, your browser keeps that ad's click identifier (for example a gclid or fbclid) and campaign tags in session storage for the length of your visit, and if you then request a call back or book, we send the click identifier back to Google or Meta so they can tell us the ad worked. When you enter your details while booking on our website, the Meta Pixel sends your email address, name and ZIP code to Meta in hashed (scrambled) form so Meta can match the booking to an ad; your phone number is not sent. The Meta Pixel also keeps an anonymous identifier in your browser so it can tell two visits apart. If you fill in a Google or Meta lead form in their apps, Google or Meta sends us the details you entered.
Your controls. You can control cookies through your browser settings, opt out of Google Analytics with Google's opt-out browser add-on, and adjust ad personalization in your Google and Meta account settings. Our websites do not currently respond to browser "Do Not Track" or Global Privacy Control signals; use the controls above instead. Our apps contain no advertising or tracking SDKs.
6. Payment processing
Membership payments, one-time visit payments and gear purchases are handled by Stripe, a third-party payment processor. When you enter card details, they go directly to Stripe; we never see or store your full card number. Stripe's handling of your information is governed by its own privacy policy, available at stripe.com/privacy. Where a state taxes our services, Stripe calculates the tax from your service address.
Cards saved for a booked visit. When you book a one-time visit you pay a deposit and authorize a second charge at the end of the visit for the balance, any additional time and any tip. To make that possible, Stripe stores your payment method against a customer record we hold for you, and we keep only Stripe's identifiers for it, never the card number itself. What we store is limited to what is needed to complete that visit: a Stripe customer id, a payment-method id, and the amounts and status of the charges. If you book with us again using the same email address, we reuse the same customer record so you do not have to re-enter your card.
You can ask us to remove a saved payment method at any time by emailing hello@nerddispatch.com or calling 580.400.7475. Removing it does not cancel a booked visit or a balance already owed for work performed.
Your sign-off. At the end of a visit we record that you confirmed the work was complete, when you confirmed it, and anything you typed into the "something isn't right" box on that screen. That last item is read by our office so we can call you about it, and it is not shared with anyone outside the company.
7. How we share information
We do not sell your personal information. We share it only as needed to run the service:
- Local Nerds (independent contractors): when you book an in-person visit, we share the information needed to provide it (your name, service address, phone number, a description of what you need help with, and any note our office adds for the visit) with the independent Local Nerd who covers your area. They may use it only to schedule and perform your visit, and their signed agreement with us contractually requires them to keep your information confidential and not to copy, retain, or disclose it. Whichever state you are in, your information is shared with the Local Nerd assigned to your area, not the whole network.
- Service providers who help us operate, such as Stripe (payments, sales tax and contractor payouts), our website hosting provider (DigitalOcean), Telnyx (our phone and text lines, including voicemail recording and transcription), Anthropic (the automated reading of your booking note described above), Apple and Google (delivery of push notifications), Google Workspace (the mail and contact system our office runs on), Google Analytics, Google Ads and Meta (analytics and advertising measurement), the United States Postal Service (address standardization), Printify (printing and shipping gear-store orders, which receives your name and shipping address), and the mapping/geocoding service we use to look up and verify addresses (OpenStreetMap's Nominatim). Our remote-session relays and our approximate IP-to-city lookup run on our own servers; the lookup uses the free IP Geolocation by DB-IP database (CC BY 4.0), so your IP address is not sent to a third party for it.
- Legal and safety: when required by law, to respond to lawful requests, or to protect our rights, our customers, or the public.
- Business transfers: if our business is sold or reorganized, information may transfer as part of that transaction, subject to this policy.
7a. Local Nerd applicants and contractors
If you apply to become a Local Nerd, we collect the information you submit with your application (your name, contact details, the devices and skills you tell us about, and your answers to our questions), notes from your interview, and the status of your screening. If you join, onboarding collects what a contractor file needs: your legal name and the name you go by, your date of birth (to confirm you are an adult), personal email, mobile number, home address, an emergency contact, the vehicle, driver’s license, and insurance details you attest to, the headshot for your ID badge, your signed agreement with the time, device, and network details recorded as evidence of your signature, and the PIN you choose, which we store only in hashed form. We use this to run the hiring process and, if you join, to operate your work with us: scheduling, dispatch, payouts, and support.
While you work with us we also keep your published hours and weekly confirmations, visit records and clock times, pay and tip records, the texts we send to your mobile number (signed "Nerd HQ"), push tokens for the devices you turn notifications on, your posts and uploads in the Nerd HQ Nerd Chat (kept for 90 days; we may remove a post), recordings of team meetings you join, which are kept in Nerd HQ for the team to watch, your device's location while you take a card payment with Tap to Pay (required by Apple and Google for that feature), and gear orders, which our print partner, Printify, ships using the name and address you give for them. Your headshot appears on your badge, in Nerd HQ, and in our office's contact records, which run on Google Workspace; if you link your own Google Calendar, we write your visits to a calendar we create there with the service and town only, never a customer's details. Your headshot appears on our website or in marketing only if you consent at onboarding, and you can withdraw that consent by emailing hello@nerddispatch.com. Customers see your name and city. Hiring and contractor records are kept as needed to meet legal, tax, and recordkeeping obligations.
Background checks are performed by a consumer reporting agency regulated under the Fair Credit Reporting Act (currently Yardstik, Inc.). You provide your Social Security number, date of birth, and written authorization directly to that agency on its own secure pages. We never receive or store your Social Security number or the report itself; we receive only the resulting status and the identifiers needed to link it to your application, and we record the time, device and network from which you gave your consent. The agency's handling of your information is governed by its own privacy policy.
Contractor payouts are handled by Stripe. Your bank account and tax details go directly to Stripe on its own secure pages; we do not collect or store your bank account number or taxpayer identification number.
8. How long we keep it
We keep your account information for as long as you are a member or have a visit booked, and we keep records of visits, payments, invoices, calls and texts for seven years after the last one to meet tax, accounting and recordkeeping obligations and to resolve disputes. Our phone carrier keeps its own call records under its own policy. Web server access logs are kept for 60 days. Nerd Chat posts are kept 90 days. When information is no longer needed, we delete or de-identify it.
9. How we protect it
We use reasonable safeguards to protect your information, including transmitting data over encrypted (HTTPS) connections, storing your account PIN only in hashed form, locking accounts after repeated failed sign-ins, and limiting access to the people who need it. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security, but we work to protect your information and to keep our systems current.
10. Your choices and rights
You can:
- Access or correct your account details by signing in or contacting us;
- Update your service address, phone, or email by contacting us;
- Opt out of texts by replying STOP, opt out of marketing email with the unsubscribe link in any such email, and limit cookies and analytics through your browser and the tools above;
- Delete your account from your account page on the website or in the Nerd on Call app. We keep the visit, payment, invoice, call and message records we need for tax, accounting and our own records; everything else tied to your account is deleted; and
- Request a copy or deletion of your information by contacting us.
Oklahoma, Kansas and Arkansas have no comprehensive consumer privacy law in force today, and Texas's exempts businesses of our size. We honor access, correction and deletion requests from anyone, wherever you live, and answer within 45 days. We do not sell personal information and do not discriminate against anyone for exercising their rights. To make any request, contact us using the details below; we may need to verify your identity first. Section 10a says what the law of your state adds.
10a. Your privacy rights by state
The rights in Section 10 are yours wherever you live. This section says what the law of your state adds, and how we meet it. To exercise any right, email the address for your state in Section 14, call us, or use your account page; we may verify your identity first, we answer within 45 days (and tell you if a complicated request needs 45 more), and if we decline a request you may ask us to reconsider and we answer that within 60 days. We never charge for a request and never treat anyone differently for making one.
Oklahoma
Oklahoma's consumer data privacy law (Senate Bill 546, signed March 2026, effective January 1, 2027) covers businesses that handle the personal data of at least 100,000 Oklahomans a year. We are far below that, and we follow its rules anyway: you can confirm what we hold, get a copy, correct it, delete it, and opt out of targeted advertising and of any sale of your data, which we do not do. If a breach exposes your personal information as Oklahoma defines it, we notify you without unreasonable delay and the Oklahoma Attorney General within 60 days where the law requires it (24 O.S. 161 et seq.).
Kansas
Kansas has no comprehensive consumer privacy law; the rights in Section 10 apply to you in full. If a breach exposes your personal information as Kansas defines it, we investigate promptly and notify you in the most expedient time possible and without unreasonable delay, and we notify the nationwide credit bureaus if more than 1,000 people are affected (K.S.A. 50-7a01 and 50-7a02). We keep reasonable safeguards and destroy records we no longer need (K.S.A. 50-6,139b).
Arkansas
Arkansas has no comprehensive consumer privacy law; the rights in Section 10 apply to you in full. If a breach exposes your personal information as Arkansas defines it, we notify you in the most expedient time and manner possible and without unreasonable delay, and the Arkansas Attorney General within 45 days if more than 1,000 people are affected (Ark. Code 4-110-105). Our services are for adults; where we learn that a user is under 17, we do not use their data for targeted advertising, as the Arkansas Children and Teens' Online Privacy Protection Act requires (Ark. Code 4-88-1501 et seq.).
Texas
The Texas Data Privacy and Security Act (Tex. Bus. & Com. Code chapter 541) exempts small businesses as the U.S. Small Business Administration defines them, which we are. We follow its rules anyway, and one applies to us regardless of size: we do not sell your sensitive personal data, including your precise location, and we do not sell biometric data. We would need your consent first (Section 541.107), and because we do not sell it, the notices Texas requires of businesses that do (Section 541.102) do not apply to us. You may confirm, access, correct, delete and get a copy of your data, and opt out of targeted advertising, any sale of your data, and profiling, by the methods above; we answer within 45 days and decide any appeal within 60. We are not a data broker (Tex. Bus. & Com. Code chapter 510). If a breach exposes your sensitive personal information, we notify you within 60 days of determining it happened and the Texas Attorney General within 30 days if 250 or more Texans are affected (Tex. Bus. & Com. Code 521.053).
Everywhere else
If you live in another state, the rights in Section 10 are yours, and we honor any additional right your state's law gives you on request.
11. Children's privacy
Our services are for adults. You must be 18 or older to book a visit or hold a membership, and our websites and apps are not directed to anyone under 18. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we will delete it.
12. Third-party links
Our website and messages may link to other sites and services we do not control. Their privacy practices are their own, and we encourage you to review their policies.
13. Changes to this policy
We may update this policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, notify you. Your continued use of the service after changes take effect means you accept the updated policy.
